## Description (the employer's text)

### Description

You make sure SQUER's Sales Office runs smoothly, working closely with our Managing Director, our Head of Business Development, and our PMO. You support them in their day-to-day work, from meeting preparation and calendar management, to sales events and outreach. This is not a classic back-office assistant role: you pick up the phone, take ownership and are trusted with a wide range of responsibilities.

### Your tasks

### 1. Pipeline management & Sales reporting

- Keep our CRM clean and up to date: contacts, opportunities, activities and next steps
- Make sure the team keeps its pipeline current, and follow up with colleagues when entries are missing or outdated
- Own our sales reports: prepare them regularly, keep the numbers reliable and flag trends and gaps to management
### 2. Executive and office support

- Manage the Managing Director’s calendar and appointment scheduling, including external meetings and travel
- Prepare meetings: agendas, briefings, documents
- Organise recurring meetings of the Sales Office, write meeting-minutes and follow up on action items
- Keep documentation, templates and simple status overviews up to date
### 3. Sales events & follow-up

- Plan and run selected events for sales initiatives (e.g. client dinners, networking and community formats), in close coordination with our Event Manager
- Deliver events within the agreed budget: obtain quotes, keep track of costs and find smart solutions when things get tight
- Take care of invitations, guest management, on-site coordination
- After each event: collect the contact and conversations from the team, turn them into a clear follow-up list and make sure the follow-ups happen
- We're always open to new ideas: help us keep our event series exciting and try out new formats
### 4. Outreach & campaigns

- Support the team with outreach campaigns by email and by phone
- Pick up the phone confidently when needed: inviting guests, following up with contacts, arranging meetings
- Work with Marketing on campaigns and communication around events
- Keep contacts and activities up to date in the CRM
### Across all areas

- Suggest and implement improvements to how the Sales Office works
- Prioritise independently between requests and flag conflicts early
### Your qualifications

### 1. Experience

- 5+ years as Executive Assistant, Office Manager or in a sales-support role, ideally in consulting, tech or professional services
- Experience organising B2B events, including working to a given budget
- Comfortable on the phone
- Experience supporting outreach or marketing campaigns is a plus
- Hands-on CRM experience (e.g. HubSpot), including pipeline maintenance and sales reporting; confident with Microsoft 365 or Google Workspace and spreadsheets
- Fluent German and English, written and spoken
### 2. How you work

- Personality: Friendly, outgoing and welcoming; you meet people with a positive, optimistic attitude and enjoy building relationships
- Ownership: You take a task and bring it over the finish line; people can rely on you
- Good judgement: You decide confidently within your scope and ask when a decision is irreversible or unclear — not more, not less
- Drive and initiative: You spot what could work better and propose (and implement) improvements
- Communication: Confident and professional with executives, clients and partners
- Flexibility: You keep calm when priorities shift and are available for occasional evening events and peak phases around them
- Organisation: You juggle requests from several stakeholders and keep an overview
### 3. Your role in the team

- Reports to: Managing Director and Owner of the Sales Office
- Works closely with: Head of Business Development, PMO, Marketing, Event Management
