Position Overview

Woolpert is hiring a Digital Asset Manager to join our dynamic Proposals Team. This position reports to the Director of Proposals. The Digital Asset Manager serves as the primary administrator and day-to-day owner of Woolpert's digital asset management (DAM) platform, including asset intake, metadata and taxonomy standards, permissions, digital rights documentation, integrations, reporting, and user enablement. This position develops, applies, and improves governance standards, taxonomies, and workflows that keep project imagery, graphics, video, presentations, resumes, and marketing content accurate, well organized, and easy to find and reuse across the firm. Work is complex and important to the organization and is performed with minimal supervision and wide latitude for independent judgment, including resolving cross-system issues, partnering directly with vendors and system owners, and assisting less-experienced team members.

We are unable to provide visa sponsorship for this position. Applicants must already possess work authorization in the country the job is located.

What You Will Do

  • Administers and maintains the DAM platform end to end, including configuration, asset intake, cataloging, permissions, distribution, retention, and archival, and resolves issues with limited oversight.
  • Develops, documents, and maintains project-level and asset-level metadata standards, taxonomies, controlled vocabularies, and naming conventions, and leads periodic reviews to keep them current.
  • Establishes and applies quality-review criteria for incoming assets, evaluating completeness, duplication, and compliance, and confirms required metadata and usage information are captured before publication.
  • Plans and conducts audits of asset collections to identify, correct, retire, or archive inaccurate, duplicate, or obsolete assets, and recommends corrective actions to content owners.
  • Leads the ingestion, normalization, and rationalization of legacy or acquired asset collections, coordinating timelines and requirements with contributing teams.
  • Defines and enforces clear distinctions among working files, final approved assets, restricted materials, and archival records.
  • Maintains rights-related metadata and supporting documentation, including copyright, licensing, permissions, usage restrictions, and image credits, and partners with Legal and Communications to resolve higher-risk usage questions.
  • Oversees the accuracy of employee profiles, headshots, project experience, and resume-related content maintained in or supplied to the DAM, and works with data owners to resolve gaps.
  • Monitors and troubleshoots data flows between the DAM and connected enterprise, proposal, and content-management systems, and serves as a day-to-day point of contact with system owners and vendors on configuration, defects, and enhancements.
  • Diagnoses and resolves complex user, system, and workflow issues, escalating only those requiring enterprise-level decisions or contractual action.
  • Designs and delivers user training, and creates and maintains user guides, workflow documentation, and quick-reference materials.
  • Provides expert user support and guidance on search, metadata, permissions, rights, and asset-distribution practices.
  • Analyzes and reports on DAM adoption, asset usage, data completeness, and search activity, and translates findings into recommendations that improve reuse and content quality.
  • Recommends and implements approved improvements to taxonomy, configuration, documentation, training, and workflows, and evaluates new capabilities for fit.
  • Assists and provides work direction to less-experienced team members, contractors, or contributors supporting the DAM.
